Overview
ISO 8440:1986 specifies the standardized locations for codes within trade documents used in international commerce. Developed by the International Organization for Standardization (ISO) Technical Committee ISO/TC 154, this standard ensures that document and field codes, as well as coded data entries, are positioned consistently for easy interpretation and automatic data processing (ADP) compatibility.
This International Standard is based on recommendations from the United Nations Economic Commission for Europe (UN/ECE) Working Party on Facilitation of International Trade Procedures. It supports efficient communication and reduces ambiguity by guiding the placement of coded information in commercial documents.
Key Topics
Document Code Placement
Document codes, which serve as identifiers, should be placed immediately before the document name either on the same line or on a preceding line. Example:710 BILL OF LADINGor710BILL OF LADINGTag Usage
Tags, acting as coded identifiers in place of full textual field headings, must precede or replace the field heading. This helps simplify data recognition in automated systems.Coded Data Entries in Box-Type Fields
Coded entries in box-type data fields should be located in the right-hand part of the box. They can appear on the same line as the descriptive entry or in the top right corner if space is limited, separated clearly by a short vertical line for unambiguous identification.Coded Data Entries in Column-Type Fields
For column-style data fields, coded data must be arranged vertically under the field code, often preceded by ordinal numbers to maintain order. This format supports clear differentiation of multiple entries.Definitions and Terminology
Clarifies key terms such as data field, coded data entry, document identifier, field code, and ordinal/quantitative entries to provide consistent understanding across international trade documentation.
Applications
ISO 8440:1986 is essential for entities engaged in international trade and logistics, including:
Customs Authorities and Trade Facilitators
Ensures uniformity in trade documents enabling smoother customs clearance and compliance.Importers and Exporters
Enhances document processing efficiency by standardizing code placement, reducing errors in data interpretation.Freight Forwarders and Shipping Companies
Streamlines data entry and automated processing of shipping documents such as Bills of Lading, invoices, and customs declarations.Software Developers for ADP Systems
Provides clear guidelines for designing systems that automatically read, verify, and process coded trade information, improving interoperability.Government Agencies and Standardization Bodies
Supports regulatory frameworks by establishing consistent documentation practices across borders.
Related Standards
Organizations implementing ISO 8440:1986 often refer to complementary standards for harmonized trade documentation and data exchange, such as:
- ISO 9735 - Electronic Data Interchange for Administration, Commerce and Transport (EDIFACT)
- ISO 7372 - Data elements for interchange in international trade
- UN/EDIFACT Recommendations - Framework for data communication standards in international trade
- ISO 10303 (STEP) - Standard for the Exchange of Product Model Data to facilitate complex trade workflows
These standards, together with ISO 8440, create a comprehensive system enabling efficient, accurate, and universal communication in global trade procedures.

Foreword
ISO (the International Organization for Standardization) is a worldwide federation of
national Standards bodies (ISO member bedies). The work of preparing International
Standards is normally carried out through ISO technical committees. Esch member
body interested in a subject for which a technicai committee has been established has
the right to be represented on that committee. International organizations, govern-
mental and non-governmental, in liaison with ISO, also take patt in the work.
Draft International Standards adopted by the technical committees are circulated to
the member bodies for approval before their acceptance as International Standards by
the ISO Council. They are approved in accordance with ISO procedures requiring at
least 75 % approval by the member bodies voting.
International Standard ISO 8440 was prepared by Technical Committee ISO/TC 154,
Documents and data elements in administration, commerce and industry.
Users should note that all International Standards undergo revision from time to time
and that any reference made herein to any other International Standard implies its
